Keep clients coming back without the manual work.
Most service businesses lose clients silently. They go quiet, nobody notices for a month, and by then it's too late. An automated client retention system celebrates milestones, flags at-risk clients, and keeps your relationships warm in the background.
The problem: retention breaks down when nobody's watching.
Most service businesses are great at acquiring new clients. The retention side is where things quietly fall apart. A client misses an appointment. Then another. Three weeks pass. By the time someone notices they haven't been in, they've already found someone else or just moved on.
The manual version of this (someone scanning the client list, sending personal check-ins, remembering who hit their 10th session last week) doesn't scale. It works when you have 20 clients. It breaks at 80.
Automated retention doesn't replace the personal relationship. It ensures the relationship never disappears by default. Milestones get acknowledged. At-risk clients get reached out to before they're gone. The owner has a clear picture of client health every Monday morning.
More expensive to acquire a new client than retain an existing one
Inactivity checks, so no client falls through unnoticed
Typical cutoff before a client considers themselves gone for good
Two automated moments that keep clients engaged.
A note when a client hits a milestone. A check-in when they go quiet. These two messages do more for retention than any loyalty program, and the system sends both in your voice, automatically.
Hey Sarah, just wanted to flag that you've hit your 10th session with us. That's a real commitment and it shows. We're glad you're here.
Hi James, it's been a couple weeks and we noticed you've been quiet. If something's come up or you have questions about your account, we'd love to help. Just reply here.
What you get.
A complete retention system: milestone messages, win-back flows, and a weekly report. Everything listed is included.
- Automated milestone messages when clients hit key thresholds (3rd visit, 10th session, 6-month anniversary, whatever matters in your business)

- Weekly owner report delivered to your inbox: active clients, at-risk clients, and engagement trends
- All messages written in your business's voice before the system goes live
- Short Loom walkthrough showing exactly how it works
- Documentation for your team
- 30-day support window for questions and small adjustments, and after that, we're still a text away
How it works.
Map your retention moments
We identify the key events in your client journey, the moments that matter: first purchase, first appointment, a streak, a milestone. We define what triggers a message and what the message should accomplish.
Write the messages
We write the copy with you before building anything. Milestone messages, win-back sequences, and the weekly report format, all reviewed and approved by you so the tone is right for your clients and your brand.
System runs itself
Once live, the system runs in the background. Milestones fire automatically. At-risk clients get flagged and messaged. The weekly report lands in your inbox. You review the outcomes, not the process.
Questions worth asking first.
What types of businesses does this work for?
Any service business with a client relationship: studios, clinics, agencies, consultants, law firms, fitness businesses, real estate, professional services. The system is built around your client data and your key milestones, not a gym-specific or industry-specific model.
What tools does it connect to?
The system works with whatever client data you already track: a CRM, a booking system, a spreadsheet, a custom database. We map the connection in scoping. Most common integrations: HubSpot, Mindbody, Acuity, Stripe, custom Supabase databases.
Will the messages sound generic?
No. We write the copy before building anything. You review it, suggest edits, and approve before it ever goes to a real client. The messages reference your business by name and are written to match your tone. They go out as plain-text: no email templates, no banners.
How does the inactivity detection work?
The system runs a daily check against your client data: anyone who hasn't engaged (visited, booked, purchased, logged in, whatever your equivalent is) in 7 days gets flagged. At 7, 14, and 30 days it sends progressively different messages. Once they come back, the flag clears and the clock resets.
What's in the weekly owner report?
Active clients in the last 7 days, clients showing inactivity risk, milestone events that fired this week, and any notable trends (e.g. if 10% of your client base went quiet this week, that's flagged). It's a 90-second read that tells you the health of your client relationships before you start the week.
What happens after the 30-day support window?
The system continues running. It doesn't require ongoing involvement from us once it's live. If you want continued access to small adjustments, copy updates, and proactive monitoring, that's what an ongoing partnership is for.
Ready to stop losing clients quietly?
15 minutes is enough to understand your client lifecycle and know whether an automated retention system makes sense. No commitment required.
